Goods batch manifest - what should it contain?
The product list helps to price the lot, but only its scope, timeliness and connection with a specific product determine its usefulness.
The manifesto can be a detailed list of each item or just a summary of categories and quantities. Before purchasing, check whether the document concerns the exact lot offered and whether it describes the condition of the products or only their original catalog data.
When does a manifest appear and what does it contain?
The manifest may appear on registered consumer returns, surpluses, end-of-series, new or sorted products. Unsorted uncollected parcels and courier returns do not have a product manifest.
A useful list may include ID, name, category, quantity, pallet, brand, model, EAN code, reference price and declared condition. Not every field will be available in every batch.
- batch type
- name or identifier
- category and quantity
- condition and reference price
Link the document to the item
The batch number on the manifest should match the pallet markings and the sales document. If the list is generated previously, ask if products were removed or added after it was created.
Randomly select a few items and ask to see them during a video verification or inspection.
- matching batch number
- date generated
- number of pallets and pieces
- random sample control
The reference price is not the selling price
List value, MSRP or original store price does not represent actual resale price. Take into account condition, current availability, competition, seasonality and service costs.
Base your pricing on conservative prices achievable in your channel.
- current market price
- condition and completeness
- channel commissions
- sales time
Check checksums
Compare the total quantity, weight, pallet count and value with the document summary. Explain any differences found before payment.
For a very large file, it is worth using a spreadsheet that automatically checks for duplicates, empty codes and unusual values.
- total pieces
- total weight
- duplicates
- missing fields
Save the version used when purchasing
The manifest can be updated. Keep the version that was the basis for the offer, along with the date and order number. Do not rely solely on a link whose content may change.
Determine in the terms of the transaction whether the manifest is informative or part of the contract specifications.
- source file
- date and version
- linking to the invoice
- document status in the contract
